Purpose

This policy explains what types of personal information will be gathered when you visit and use the University of Sheffield Athletics and XC website s and how this information will be used. This policy applies to www.shefuniac.co.uk this is operated by a group that falls under Sport Sheffield.

What we collect

We may also ask you to provide some personal information when filling out forms on any of our websites or to give feedback, request support or request further services from us.

We use a third party communications tool (wix.com) to send and manage communications to our staff, students and wider customers.

We also collect information about your computer, including where available your operating system and browser type, for system administration and to report aggregate information. This allows us to ensure that content from our site is presented in the most effective manner for you and for your computer.

If you attend one of our events we may video or photograph you. This will usually be as part of general filming of the venue and will not usually focus on specific individuals, where this does not apply we will ask for your permission before hand.

By providing The University of Sheffield Athletics and Cross-country club (Sport Sheffield) with this data you are consenting to us holding and using your data for the purposes for which it was provided to us for no more than three years.

What are you doing with my data?

Personal information provided to The University of Sheffield Athletics and Cross-country club (Sport Sheffield) by you will only be used for the purposes stated when the information is requested. Personal information will not be sold to third parties, or provided to direct marketing companies or other such organisations without your permission.  Personal information collected and/or processed by the University is held in accordance with the provisions of the General Data Protection Regulation.

We will use the name and email given in the contact form to contact you only if it is believed to be beneficial for both parties to need a reply.

The anonymous form will only be initially reviewed by a member of the elect committee however the Welfare Officer reserves the right to share this data with their sub committee where appropriate. 

The University of Sheffield Athletics and Cross-country club (Sport Sheffield) processes your data using the following lawful bases of the General Data Protection Regulations:

Article 6(1)(a) Consent: You have consented to the processing

Article6(1)(e) Public Task: the processing is necessary to perform a task carried out in the public interest

Article 6(1)(f) Legitimate Interests: It is in our interests to process the data, except where this infringes on your fundamental rights.

How do we store your information

Information which you provide to us will ordinarily be stored on our own secure servers or the servers of Wix's service providers.  The University of Sheffield Athletics and Cross-country club (Sport Sheffield) work with third party organisations who provide certain functions and or features of our services to you.  Accordingly, information that we collect from you may be transferred to a 3rd Party company to allow us to carry out our day to day business.

By submitting personal information, you agree to this transfer, storing and processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy. 

We may also disclose your personal information to third parties if we are under a duty to disclose or share such information in order to comply with any legal obligation or to protect the rights, property or safety of the University, its members or others.

Changes to our privacy policy

From time to time, we may use your information for new, unanticipated uses not previously disclosed in our privacy policy. If our information practices change at some time in the future we will post the policy changes on this page.
